Estate Processing – Checklist Now on the Advisor Centre and Document Uploading Reminder

July 4, 2024

Category: Best practices

We are pleased to announce that the Investia Estate Checklist document has been recently added to the Advisor Centre for added convenience. It will also remain in Univeris under the “Generate Forms” section of the Task Menu.

As a reminder, this document is designed to help you gather and submit the proper nominee estate documents more efficiently to head office, while reducing delays and ensuring a smoother process. The checklist is available in two versions, i.e., one for Quebec clients and the other for outside Quebec.

The Estate Checklist can be found on the Advisor Centre under the “Procedures and Forms” section:
Reminder – Estate document uploading
We are taking this opportunity to remind you that an uploading option for estate documents is available on the Secure File Upload Tool. Simply select the “Estate processing (Nominee accounts)” option to send us your nominee estate documents for processing via the upload tool.

Having one location for nominee estate documentation ensures that estate documents are not split manually among our various teams, resulting in faster processing for you and your clients, reduced errors and fewer back-and-forth communications for follow-ups/requests for missing information.

Use the nominee estate processing option for:

  • All your Investia nominee estate documents intended for processing (i.e, death notifications, authenticated wills, letters of direction, death certificates, identification documents, instruction forms, void cheques, etc.)

Do not use this option for:

  • Estate documents related to client-name/intermediary accounts – Please continue to use the regular Processing or Imaging options, depending on the case.

  • Any non-estate related documentation.

Best practice reminder
To further expedite processing, please ensure to always send all your nominee estate documents (per plan or client) in one batch. Incomplete files will lose their priority in our processing queue and be placed in pending status until all documents have been received, which will cause additional delays. It is important to note that if you use the “Processing” option instead of the option dedicated to estates, some of your documents will not reach our team, resulting in delays in the processing of these estates.
